Privacy Policy

How KeptDesk handles information on this website and while operating managed AI desks for participating businesses.

1. Scope and roles

KeptDesk is a service of Design Agentic LLC ("Design Agentic," "KeptDesk," "we," "us," or "our"). This Privacy Policy applies to keptdesk.com, business inquiries submitted to us, and information KeptDesk processes while operating a managed AI desk for a participating dealership, law firm, or other business customer.

When you contact a participating business through a KeptDesk-operated phone line or web experience, that business determines why your information is collected and how it is used. KeptDesk generally processes that information for the business as its service provider. Requests concerning a customer-desk conversation may need to be handled with that business.

2. Information we collect

Website and business inquiries

We may collect information you provide when requesting a demonstration, contacting us, or applying for a pilot, such as your name, business email, organization, business type, optional phone number, message, and the page or campaign that led to your inquiry. Please do not submit legal-case facts, health information, payment information, or other sensitive personal information through a KeptDesk marketing or contact form.

Our hosting and security providers may automatically process technical information such as IP address, browser and device information, requested pages, timestamps, referring page, and security or abuse signals. The current public site does not use KeptDesk-operated advertising or behavioral-analytics cookies. A linked third-party service may apply its own cookies and privacy policy.

Customer-desk conversations

Depending on the participating business and channel, KeptDesk may process:

  • contact information, including name and callback number;
  • call audio or call-provider records, transcripts, chat messages, and conversation timestamps;
  • information requested by the participating business to route or qualify the inquiry, such as vehicle/service details or law-firm intake criteria;
  • scheduling activity, booking status, escalation and follow-up information;
  • AI disclosure, consent, opt-out, and communication-preference records; and
  • audit events, review records, outcome classifications, and billing-support records.

KeptDesk is designed to redact certain sensitive patterns at capture, but no automated redaction system is perfect. Provide only information reasonably needed for the inquiry.

Sources

We receive information from you, the participating business, communications and scheduling providers, and systems involved in delivering, securing, monitoring, or auditing the service.

3. How we use information

We use information to:

  • answer, transcribe, and manage calls or web conversations;
  • apply the participating business's intake, routing, qualification, scheduling, and escalation rules;
  • send requested transactional scheduling communications when that feature is enabled;
  • create records, audit trails, review queues, outcome records, and billing support;
  • operate, secure, troubleshoot, test, and improve KeptDesk;
  • respond to business inquiries and provide demonstrations or pilot support; and
  • comply with law, enforce agreements, and protect people, customers, KeptDesk, and others.
AI disclosure. KeptDesk is designed to identify the assistant as AI at the start of each conversation. KeptDesk does not provide legal advice, diagnose vehicle problems, or replace emergency services.

4. How we disclose information

We may disclose information:

  • to the participating business whose desk you contacted and its authorized personnel;
  • to vendors that provide hosting, communications, telephony, AI model processing, scheduling, security, notifications, and related infrastructure, only as needed to provide their services;
  • to professional advisers, insurers, auditors, or transaction counterparties subject to appropriate duties; and
  • when reasonably necessary to comply with law, respond to lawful process, enforce agreements, or protect rights and safety.

Depending on the feature in use, service providers may include Cloudflare, Google Cloud, Retell, Twilio, Calendly, OpenRouter, Anthropic, and business-email or notification providers. A participating business may choose or connect additional providers.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not share mobile numbers, text-message consent records, or opt-in information with third parties or affiliates for their marketing or promotional purposes.

5. Text messaging

If you ask during a call or web conversation to receive a booking link or appointment confirmation by text, KeptDesk may record the consent language, version, source, timestamp, mobile number, and related session. Those records are used to deliver the requested transactional messages, honor opt-out preferences, prevent duplicate sends, and demonstrate compliance.

Message frequency varies with the scheduling activity you request. Message and data rates may apply. Reply STOP to opt out, START to opt back in where supported, or HELP for assistance. Consent to receive text messages is not a condition of purchasing goods or services. See the KeptDesk Text Messaging Terms for additional details.

6. Retention and deletion

KeptDesk does not currently operate an automated, fixed-period purge process for customer-desk records. Conversation messages, transcripts, audit events, review items, outcomes, scheduling records, and related operational records may therefore be retained indefinitely unless Design Agentic or the participating business deletes them in response to a request, contract requirement, or legal obligation.

Some audit, security, billing, dispute, backup, or legal records may be retained when deletion is not technically possible or would conflict with legal obligations, fraud prevention, security, or the rights of the participating business or others. Third-party providers retain information under their own agreements and policies.

Business-inquiry information is retained while the inquiry or business relationship is active and afterward as reasonably needed for follow-up, recordkeeping, security, or legal purposes. A more specific lead-form retention period will be added before the protected public lead form begins collecting information.

7. Your choices and rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, or a copy of certain personal information. You may also object to or withdraw consent for certain processing. These rights may be limited by law and by our role as a service provider to a participating business.

For information collected through a customer desk, contact the dealership, law firm, or other business you originally contacted when practical. You may also contact us, and we will route or evaluate the request. We may need to verify your identity and the relevant business or conversation before acting.

8. Security

KeptDesk uses administrative, technical, and organizational safeguards intended to protect information, including scoped access controls, encryption for configured secrets, redaction controls, tenant isolation, and tamper-evident audit records. No transmission, storage system, or security control is guaranteed to be completely secure.

9. Children

The KeptDesk marketing site is directed to businesses and is not intended for children under 13. A participating business may receive an inquiry involving a minor; in that situation, the business determines the appropriate handling and KeptDesk processes the information on its behalf.

10. Changes and contact

We may update this policy as KeptDesk, its providers, or applicable requirements change. We will post the updated version here and revise the date above. Material changes may also be communicated through the service or to affected business customers.
